Every stage of applying to university abroad, what your counsellor does, what you have to do yourself, and how long each step actually takes. All of it free — you pay only the university.

Who does what, and when
Applications stall for one reason more than any other: a student assumes their counsellor is handling something the counsellor cannot handle. So every stage below names both sides. Timings are typical rather than promised — offer turnaround and visa processing are set by universities and governments, not by us.

Bring your most recent transcript or predicted grades, and a realistic annual budget including living costs. A vague budget produces a useless shortlist.

This part is yours and it cannot be delegated: transcripts, passport, references from people who will actually reply, and an English test booked if you need one.

Read every application before it is submitted in your name. It is your application, and you are accountable for what it says.

We chase universities that go quiet, and translate every offer — what a condition actually requires, and what happens if you miss it.

Accepting and paying the deposit

We confirm exactly what the university needs to release the document your visa depends on, and by when.

We make sure the CAS, I-20 or CoE is issued with correct details. A typo here is a refused visa later, and it is easier to fix before issue than after.

Book accommodation early. In most university cities the good options are gone months before term starts.
Phases: Counselling → Application → Offer → Visa → Departure. Stages overlap in practice — documents and personal statement usually run at the same time.
What to have ready for the first call
None of this is required to enquire, and a counsellor will speak to you without any of it. It just means the first call produces a shortlist instead of a follow-up call.
- Your most recent transcript, or predicted grades if you have not finished yet
- A realistic annual budget, tuition and living costs together
- Your passport, or the date you expect to have one
- Any English test score you already hold, including older ones
- A rough sense of subject and country — "not sure" is a valid answer to both
When should you start?
Six to twelve months before your intake is comfortable. At three months you are relying on documents arriving first time, an offer coming back quickly and a visa being processed without a query. It happens, but there is no slack in it.

University intakes
Universities admit students in intake seasons. Knowing them helps you plan your application and start on time. Intakes vary by country and university, and your counsellor helps you choose the right one for your goals.
Fall / September
Aug–Oct start · main intake
The largest intake, with the widest choice of courses and scholarships. Apply roughly 6–12 months ahead.
Spring / January
Jan–Feb start · second intake
A strong second intake, ideal if you missed September or need more time to prepare your application.
Summer / May
Apr–May start · limited
A smaller intake offered by some universities and countries for selected programmes.
Most partner universities run September and January intakes; your counsellor confirms the exact dates for your chosen course.

Questions about the process
How long does the whole process take?
From first call to visa decision, most students take four to nine months. Counselling and shortlisting take days. Documents, personal statement and submission take three to six weeks, and that stage moves at whatever speed you gather your paperwork. Offers typically take two to eight weeks, then the visa stage depends on your destination and the time of year. Apply six to twelve months before your intake and you are comfortable; three months out and you are relying on everything going right.
What do I actually have to do myself?
Four things cannot be delegated: gathering your own documents, sitting an English test if you need one, writing the first draft of your personal statement, and paying the university directly. Everything else — shortlisting, checking requirements, completing and submitting applications, chasing decisions, reviewing visa documents — your counsellor handles.
Can I start before I have my final results?
Yes, and most students should. We apply on predicted grades and you receive a conditional offer, which you convert once your results are published. Waiting for results before starting is the most common reason students end up rushing, or missing an intake entirely.
How many universities can I apply to?
For UK undergraduate courses, UCAS allows five choices in one application. Elsewhere you can apply to as many universities as you want, though each additional application means more documents and, at some universities, another application fee. Most students end up with a shortlist of five to eight and apply to three or four.
What happens if I do not get the grades I was predicted?
Your counsellor works through what is still open, which is usually more than students expect: a university may confirm your place anyway, an insurance choice may accept you, a foundation or pathway year may be available at the same institution, or a January intake may give you time to resit. Tell us on results day rather than after — options close quickly at that point.
Do I have to accept an offer you find?
No. There is no contract, no exclusivity and no fee, so there is nothing to withdraw from. Students regularly go through counselling with us and then apply somewhere else or defer a year, and that is a normal outcome rather than a problem.
